Office Administrator
Run the day-to-day of our Somerville office — front-of-house, vendors, scheduling, records and the operational glue that keeps a busy publishing house moving.
Operations • Somerville, MA (In-office) • Full-time • 4–5 years experience
About the Role
Our office at 240 Elm Street in Somerville (Davis Square, steps from the Red Line) is the operational home of Boston Research Journals. We need an experienced administrator to own it: the calendars, the vendors, the mail and shipping (including printed journal dispatches), the supplies, the visiting editors and the hundred small things that make an office work.
You will be the first point of contact for the organization and a trusted coordinator for the leadership team. The role is fully on-site, Monday to Friday.
What You Will Do
- Own front-of-house: reception, correspondence, phones and the shared inboxes' first triage.
- Manage vendors, supplies, facilities issues and the office budget.
- Coordinate shipping and receiving, including printed journal copies and author dispatches.
- Keep organizational records tidy: filing, invoices, basic bookkeeping support and compliance paperwork.
- Schedule meetings, travel and events for the leadership and editorial teams.
What We Are Looking For
- 4–5 years of office administration or operations experience.
- Excellent organization and follow-through — you close loops without being chased.
- Strong written and spoken English; professional, warm front-of-house manner.
- Confident with Google Workspace / Microsoft Office and everyday office technology.
- Able to work on-site five days a week in Somerville, MA.
Nice to Have
- Experience in publishing, academia or another deadline-driven professional office.
- Basic bookkeeping (QuickBooks or similar).
